This policy explains what information Open Clubhouse collects, why we collect it, who we share it with, and the choices you have. It applies to openclubhouse.org and every feature on it. Using the site means you accept this policy.
Account details: when you sign up we collect your email address, a display name, and a password (or your Google account identity if you sign in with Google). Notification emails about your reviews, registrations, and messages go to this address.
Verified reviews: when you submit a review we collect your star ratings and a verification document (such as an invoice, roster, game assignment, or coaching agreement) proving your connection to the program.
Messages and requests: registration requests, questions you send to programs, and contact-form messages are stored so both sides can see the conversation.
Newsletter: if you subscribe to The Clubhouse Notes, your email is collected and managed by Beehiiv, our newsletter provider.
Published reviews never show your name. They appear under an anonymous label such as Parent 1 or Coach 2. Programs never learn who wrote a review, and your verification documents are used only to confirm your connection to the program: they are never published, never shared with the program, and never used for any other purpose.
We use Google Analytics 4 to understand how the site is used: pages visited, approximate location, device type, and actions such as using the cost calculator or starting a review. Google Analytics sets cookies and collects device identifiers on Google's behalf. We do not send Google your name, email, review content, or verification documents.
Our hosting provider (Vercel) and database provider (Supabase) keep standard server logs, such as IP addresses and request times, for security and reliability.
Program subscriptions are processed by Stripe. Your card details go directly to Stripe and never touch our servers; we receive only the subscription status needed to activate paid features. Payment status never affects reviews or ratings.
We do not sell your personal information, and we never share reviewer identities with programs. We share information only with the service providers that run the platform: Supabase (database and authentication), Vercel (hosting), Google Analytics (usage analytics), Resend (transactional email), Beehiiv (newsletter), and Stripe (payments), each only to the extent needed to provide their service. We may also disclose information if the law requires it.
A program you interact with directly sees what you choose to send it: the name and message in a registration request or inquiry, and the contact email you provide there. A program never sees who reviewed it.
Account data is kept while your account exists. Published reviews are permanent by design, but they are anonymous. Verification documents are retained only as long as needed to support the review's verified status. Analytics data is retained per Google Analytics' standard settings.
You can unsubscribe from the newsletter with the link in any issue. You can ask us to access, correct, or delete your personal data by writing through the contact page; deleting your account removes your personal details while anonymous published reviews remain, consistent with the platform's trust guarantee. You can block analytics cookies with browser settings or Google's opt-out tools.
Open Clubhouse is for adults: parents, guardians, coaches, and officials. It is not directed at children under 13, and we do not knowingly collect personal information from them. Reviews are about programs, and we ask reviewers not to include children's names.
If we change this policy we will update the effective date below, and for significant changes we will note it on the site. Continued use after a change means you accept the updated policy.
